Booking, Packages & Lesson Management

⚠️ Before You Book – Start Here

  • Sign in first. Use Log In (top right) to keep all bookings, packages, and history in one place. Without login, you cannot manage your lessons later.

  • First-time trial? You can skip login, but we recommend creating your account immediately afterward.

  • Using a package? Click “Package, Gift, or Coupon Code” at checkout. The price drops to €0 and the booked time is deducted from your package. Do not enter payment details when a package applies.

  • Package validity: All packages are valid 12 months from purchase. Unused hours automatically expire.

  • Guest bookings: If you booked without login and cannot see your lessons, email admin@germanonlineinstitute.com to have them linked.

1. Access the Calendar

  • Main booking page: germanonlineinstitute.as.me

  • Your teacher’s personal booking link (in their email signature or bio page):
    germanonlineinstitute.com/teachers/firstname-initial

2. Sign In / Create Your Account

  • Click Log In (top right).

  • New? Click Sign Up with the same email you’ll use for bookings.

  • Forgotten password? Use Forgot password on the login screen.

  • Why this matters: Logging in ensures packages apply automatically, lets you reschedule easily, and keeps your lesson history accessible.

3. Choose Your Lesson Type

  • Select from:

    • Free 30-minute Trial

    • Individual Sessions (1h, 1.5h, 2h)

    • Kids’ Sessions (30 min)

    • Exam Preparation / Specialized Lessons

    • Private Group Sessions (pre-arranged groups)

  • Tip: If you cannot find the type you need, contact admin@germanonlineinstitute.com.

4. Confirm Your Time Zone

  • Check the top-right of the calendar to ensure your city/time zone is correct. Incorrect settings = wrong times.

5. Select Appointment(s)

  • Book single sessions, recurring slots, or use “Add More” to pick multiple flexible dates (up to 8 weeks ahead).

  • Need ongoing weekly lessons? Select your preferred slot weekly or contact your teacher to plan in advance.

6. Apply Your Package at Checkout

  • On the checkout page:

    1. Click “Package, Gift, or Coupon Code”.

    2. Enter your code. The price updates to €0.

  • Only enter payment info when:

    • Buying a new package

    • Using Pay & Go (single paid lessons)

    • Adding a tip

7. Check Package Balance & Expiry

  • Booking page bottom: View remaining hours and expiry date.

  • In your account: Log in → Check Package Balance.

  • Packages are not extendable beyond 12 months. Plan your lessons accordingly.

8. Reschedule or Cancel

  • Fastest: Click Change/Cancel Appointment in your confirmation email.

  • Via your account: Log in → Appointments → Select lesson → Reschedule or Cancel.

  • Policy:

    • Must be done ≥24h before start.

    • Late cancellations/no-shows (<24h) count as used lessons.

  • Why: This ensures fairness and respect for teacher time.

9. Add Lessons to Your Calendar

  • From the appointment page: Click Add to Google Calendar or Add to iCal/Outlook.

  • From confirmation emails: Use the Add to Calendar buttons at the bottom.

10. Payment, Refunds & Invoices

  • Payments: Credit card or bank transfer. No PayPal.

  • Refunds: Only for unused, valid packages. Stripe fees are non-refundable. Refunds are processed by admin only.

  • Invoices: Sent automatically via email after every purchase. Contact admin if missing.

11. Teacher Absences & Substitutions

  • If your teacher is unavailable, we notify you immediately.

  • Lessons will either be rescheduled or a qualified substitute will be provided.

12. Troubleshooting Common Issues

  • Cannot log in? Ensure you signed up with the same email. Use Forgot password.

  • No available times?

    • Your requested duration may exceed available slots. Try a shorter session or another day.

    • Your time zone may be wrong. Adjust at the top right.

    • The slot was booked by another student seconds earlier. Refresh and try again.

  • Appointments not visible to teachers: Teachers cannot modify or see student calendars. All changes must be done by you or via admin.
